  5. Technical Drop-In 5th August 2025

Modified on Mon, 11 Aug at 12:31 PM

    • These are the issues that were covered during the drop in session.

The session was recorded, timestamps for each section are listed so you can navigate straight to the part of the video that you require.

The video will be added to the article at a later date.

      1. Update on issues with final sign-off. 2:30

For learners experiencing issues with submitting their self-assessment for final sign-off the following steps need to be taken.

      1. Learner to remove the current supervisor from their list.
      2. Learner to notify the new supervisor that this has been done.
      3. New supervisor then adds the learner to their staff list and starts supervising them.

This enables the correct person to be in correct role for sign-off. A support article is now available documenting this process.

N.B. We use system terminology when referring to roles, these roles sometimes have framework specific terms and supervisor is sometimes known as educator/manager. Framework specific terms will be removed later this year to avoid confusion.

      2. Clarification over the term 'self-assessment'. 6:35

The term 'self-assessment' has been much debated and the framework owner forum have agreed as a collective to keep this term. A new dialogue box is due to be added to the system in the next release for learners to confirm that they are supervised self-assessments and skills should always be demonstrated or discussed with the person signing off the competency. Nominated supervisors (assessors) should be empowered to reject sign-off requests for any competencies submitted by learners if necessary.

      3. Query over role terminology changing. 14:55

This relates to the removal of framework specific terminology such as educator/manager and assessor and the terms Supervisor and Nominated Supervisor being used for all frameworks. This will be standardised across the platform later in the year to reduce confusion for leaners/support and improve the overall platform and support experience.

      4. Changing supervisors after staff move wards. 17:35

When a staff member moves wards and the supervisor needs to be changed the learner must remove the old supervisor, and the new supervisor must add the learner to their staff list and start supervising them. This enables the new supervisor to perform final sign-off. This is the same process as in the first issue discussed. Support article

      5. ACCEND Framework: evidence upload and linking. 18:50

Evidence upload and linking to multiple capabilities is on the development backlog; likely for next year. There are no current plans to link to external frameworks as the current focus is on using the national Learning Hub and Competency Framework Service. Feedback relating to the ACCEND pilot needs to be sent to Nate Hill, the project manager.

      6. Difficulties enrolling Healthcare Support Workers on a self assessment. 24:25

Check the learning category settings for the supervisor enrolling them; if this is set to 'registered clinical frameworks', unregistered frameworks may not appear. Setting to 'all' should resolve the issue.

      6. ACCEND Framework: assessing capability levels. 28:10

Due to the framework specific nature of this query it was advised this should be raised at the framework specific community of practice. It was confirmed that these concerns are being escalated to the project lead, and a steering group will address them.

      6. Higher Education Institute(HEI) / University access to DLS platform . 35:45

HEI's can be set up as a centre for access and visibility. Any HEI's requiring access should email support@dls.nhs.uk for further information.

      6. Reporting issues after configuration changes. 38:54

Centre specific issue with reporting after changing configuration from divisions to departments. Due to the detailed nature of this query this was resolved directly with the centre outside of the drop-in session.

      6. Paper to digital data upload for IV Passport. 41:00

A paper to digital process is planned but not yet available. For now, organisations can manually fast-track these learners with the digital version, but this may affect reporting data. The approach to this should be determined locally by each organisation until the feature is released.

      6. Optional proficiencies for Healthcare Support Worker Certificate. 47:30

As this is framework specific, the enquirer was directed to contact the framework lead, Sarah Chamberlin.

      6. HEI access to Steps 2 and 3 competencies. 48:36

HEI's are able to support with all Steps frameworks. The framework owners are very supportive of HEI involvement.
