These are the issues that were covered during the drop in session.
The session was recorded, timestamps for each section are listed so you can navigate straight to the part of the video that you require.
1. How do learners complete final sign-off once all competencies are finished? 0:03
Learners receive a final sign-off box once all competencies have been completed and signed off. They submit the request in the same way as an individual competency. A supervisor/educator must be assigned to the learner for the final sign-off to be processed.
2. How does competency sign-off work when universities are involved and multiple people need oversight? 4:28
The learner’s supervisor remains responsible for final sign-off, but additional (nominated) supervisors can be added. Learners can register with multiple centres, allowing both Trust and university staff to assess competencies. Supervisors can see who signed off each competency before completing the final sign-off.
3. What information appears on certificates for learners completing optional competencies? 7:07 and 26:00
The certificate provides a high-level summary of selected competency areas and totals completed. It does not include detailed competency evidence, although learners can export a full competency record to Excel if required.
4. Can university staff be added without creating a separate university centre? 8:27
Yes. University staff can be registered directly at the NHS Trust centre and assigned supervisor or nominated supervisor permissions.
5. Do university supervisors need an NHS email address? 9:07
No. Any email address can be used, preferably a university email. However, people registering from outside the NHS Trust may require manual approval because automatic approval is based on organisational access/IP checks.
6. A learner had a competency rejected and can no longer resubmit it. How can this be fixed? 11:52
Rejected competencies must first have their status reset. Once reset, they can be reviewed again and resubmitted through the normal workflow. View support article.
7. Why can learners not see the option to submit a support ticket? 13:42
Support for learners is provided by the organisation in the first instance, hence the support ticket function is only available to Centre Managers and Administrators. Learners need to contact their Centre Manager, who can raise a ticket on their behalf.
8. Has the Steps Neuro Competencies pilot access issue been resolved? 20:25
Yes. The issue affected a small number of users in the pilot whose access rights needed correcting. The problem has been investigated and resolved.
9. How do you successfully resubmit a previously rejected competency? 21:22
Change the competency status, submit the change, then reopen and update it again. This resets the workflow and allows the competency to reappear for submission. View support article.
10. What benefit do target completion dates provide? 23:05
Target dates automatically generate reminder emails to learners. Participants highlighted this as a useful way to reduce manual chasing and improve completion rates.
11. Can managers or assessors allocate optional competencies to learners in future? 28:41
The idea has been discussed, but it is not currently on the development roadmap. Current priorities focus on wider Learning Hub platform integration and migration work.
