  5. How does an HEI access the platform?

    • Summary

Higher Education Institutions (HEIs) taking part in the Digital Clinical Proficiency Framework pilot can access learner progress in one of two ways.

      HEIs can either:

      • receive completed documentation from learners without accessing the platform, or
      • be set up as a Centre on the Digital Learning Solutions (DLS) platform and co‑manage learners directly.

This article explains both options to support HEIs in choosing the most appropriate approach.

Option 1: HEI not set up as a Centre on DLS

Under this option, the HEI does not have direct access to the DLS platform.

      How this works

      • Learners complete the digital clinical proficiency framework on DLS.
      • Learners can download a locked (read‑only) Excel file showing their progress at any time.
      • Learners share the Excel file with the HEI via email or upload it to another system.
      • Once the framework is complete, learners can download a completion certificate and provide this to the HEI.
      Pros
      Cons
      Minimal setup required
Cannot view learner progress in real time
No requirement for HEI staff to access or learn the DLS platform
Unable to confirm proficiency achievement within the platform
      Less time‑intensive for HEIs
Unable to complete final sign‑off of learner proficiencies on DLS

Option 2: HEI set up as a Centre on DLS

Under this option, the HEI is set up as a Centre on the DLS platform and co‑manages learners alongside the Trust.

      How this works

      • The HEI is configured as a Centre on DLS.
      • HEI users are assigned appropriate roles (for example, admin roles where required).
      • Learners add the HEI as an additional Centre to their account (this is a one‑off action).
      • Learners can still download a locked Excel version of their framework, as in Option 1.

      What HEIs can do

      • View learner progress in real time.
      • Confirm learner achievement of proficiencies within the platform.
      • Perform final sign‑off of the digital clinical proficiency framework (where appropriate).
      • Run progress reports for all learners using the digital proficiencies.
      Pros
      Cons
      Full visibility of learner progress
Requires time to be set up on the platform
Ability to actively support and quality‑assure assessment
HEI staff need to become familiar with using DLS
Access to reporting across learner cohorts
Learners must add an additional Centre to their account (one‑time step)

      Additional information

Both access options are valid. The most suitable option will depend on:

      • how closely the HEI needs to monitor learner progress
      • whether the HEI needs to confirm or sign off proficiencies
      • the time and resources available to manage access to the DLS platform

If you need further advice on which option is most appropriate please contact the support team.
